Final Due Date: June 15, 2010

Contact Conference Staff

Proceedings papers are invited for all platform and poster presentations. Please consider writing a paper—it will provide a more substantive permanent record of your work than would the one-page abstract. Battelle is not requesting exclusive rights that would preclude your submitting it to other publications; instead, the Contributor's Agreement covers only permission to include your paper in the Conference proceedings and any reprints thereof.

Content. Papers are expected to be well-written and technically defensible. We reserve the right to decline any paper that does not meet Conference standards. Your paper should provide the most current information available about your work at the time of submission. Papers should:

  • Be concise, approximately eight pages, including figures, tables, and references.
  • Be in Microsoft Word®; other brands of software (including Macintosh versions of Word) will not be supported.
  • Comply with format and file name specifications.
  • Be submitted by June 15, 2010, in two forms: the Microsoft Word® file sent via the upload process provided below and a printout sent as a fax or an e-mailed scanned copy. Send the Contributor's Agreement (PDF) with the printout. If your paper incorporates material taken from a copyrighted publication, you must obtain permission from the copyright holder to use that material in your conference paper.  The permission is to be submitted with the paper; to avoid delay, please contact the copyright holders a week or two before you intend to submit your paper. This permissions(PDF) form is provided for your convenience in requesting permission.

Format. Organize your paper so that the information is readily accessible to the reader; see the example paper (PDF) for suggested main section headings. In your closing section, discuss how results obtained to date can be used in other applications. You may also wish to mention unresolved questions or additional investigative directions, but concentrate on how your results can be put to use. Before finalizing your paper, please print and review the three attached files. Spell-check the text and, if possible, have your work reviewed for technical content, grammar, and style before you submit it.

File Name. The file name must be constructed as follows:

Chlor#[abstract number][presenter’s last name]Paper

Your abstract number was provided in the November 20 placement notification and the April 20 final letter. For example, the file submitted for abstract number 999, to be presented by someone whose last name is Jones, would have the following file name:

Chlor#999JonesPaper.doc

Submission. There are two steps in the submission process. Have the printed material described under Step 2 ready to send as soon as possible after uploading the file. Step 2 is required to complete submission of your paper.

Step 1: Upload File. On the Upload Screen, click the browse button to select your file(s) to upload. Then click the Send File(s) button to begin the upload process. As soon as the upload is completed, you will receive an automatic reply, letting you know that the file was received.

Step 2: Send Printed Copy. Fax or e-mail a printout of the paper, along with the completed and signed Contributor's Agreement(PDF) and, if necessary, the Permission to Reprint/Quote form (PDF). The printed copy of the paper will be used to catch conversion errors (e.g., loss or substitution of special characters, movement or loss of figures) that may occur when the file is opened during compilation of the proceedings. The Contributor's Agreement must be used as the fax cover sheet, and the abstract tracking number must be written on it.  The fax number and e-mail address are displayed at the top of each form.

Confirmation of Receipt. In addition to the system-generated confirming e-mail you will receive after uploading the file, you will receive an e-mail from the conference staff within one week letting you know that we have received your paper. Your paper should be submitted only once—please do not send a backup copy by mail or fax and do not resubmit the paper electronically unless you have not received a confirmation e-mail after one week.

Revision. If you find it necessary to revise the paper, simply resubmit it via this page. Note: Review of the paper has no bearing on the status of the Conference presentation. If any revisions or clarifications of the paper are requested by reviewers, the speaker will be contacted by July 15.

Inquiries. If you have any questions about your presentation, updated abstract, or proceedings paper, please send an e-mail message to chlorcon@battelle.org, or call Gina Melaragno at 614-424-7866.
