Proceedings Papers & Poster PDFs

Please consider writing a paper—it will provide a more substantive permanent record of your work than would the abstract. Submission is encouraged but not required.

All platform and poster presenters are asked to submit short papers for the proceedings, which will be available in digital format after the Conference to attendees who paid standard industry, government or student registration fees. Any presentation for which no paper is submitted will be represented in the proceedings by the abstract.

General Guidelines

Papers are expected to be well-written and technically defensible. They are to be concise, approximately eight pages, including figures, tables, and references. 

 

Provide the most current information available about your work at the time of submission. Organize your paper so that the information is readily accessible to the reader; see the example proceedings paper for suggested main section headings. In your closing section, discuss how results obtained to date can be used in other applications. You may also wish to mention unresolved questions or additional investigative directions, but concentrate on how your results can be put to use.

 

Spell-check the text and have your work reviewed for technical content, grammar, and style before you submit it. Extensive copy-editing will not be performed. We reserve the right to decline any paper that does not meet Conference standards.

Permission Forms

The following forms are required when submitting your paper:

Proceedings Paper Contributor’s Agreement 
Battelle is not requesting exclusive rights that would preclude your submitting your work to other publications. Instead, the Contributor’s Agreement will cover only permission to include your paper in the Conference proceedings and any reprints thereof.

Permission to Reprint/Quote Form (if applicable) 
If your paper incorporates material taken from a copyrighted publication, you must obtain permission from the copyright holder to use that material in your conference paper. The permission is to be submitted with the paper; to avoid delay, please contact the copyright holders early enough to obtain permission before you submit your paper.

File Naming: Proceedings Paper

The file name must be constructed as follows: 
Session Code_Abstract #_ProcPpr_ Presenter Last Name

For example, the file submitted for abstract number 999, scheduled in Session A1 and presented by someone whose last name is Jones, would have the following file name:A1_#999_ProcPpr_Jones.docx

Your abstract number was provided in the email you received from the Conference Office notifying you of placement in the program.

Submit

The documents that will be required for upload are:

Microsoft Word® and PDF versions of the paper
The Word file will be used for insertion of a header containing citation information for the paper and for minor formatting as needed. The processed file will be checked against the PDF copy of the paper to ensure no conversion errors (e.g., loss or substitution of special characters, movement or loss of figures) occurred when the Word file was opened during compilation of the proceedings.

Proceedings Poster PDFs: Preparation & Submission

File Naming

One-Page PDFs of poster presentations will be accepted for inclusion in the Conference Proceedings. 

The file name must be constructed as follows: 
Session Code_Abstract #_Poster_ Presenter Last Name

For example, the file submitted for abstract number 999, scheduled in Session A1 and presented by someone whose last name is Jones, would have the following file name:A1_#999_Poster_Jones.docx

Your abstract number was provided in the email you received from the Conference Office notifying you of placement in the program.

 

Permission

Battelle is not requesting exclusive rights to the information in your poster, only permission to include the PDF in the Conference proceedings/reprints and in online formats. This agreement does not restrict the author from submitting the information to another publisher.

By uploading the poster PDF, you agree to the following: As the Lead Author, I hereby warrant that (1) I am responsible for the content and have full authority to make this Agreement for the poster PDF; (2) if the poster PDF contains previously published material, that publication is properly credited and, if it was a copyrighted publication (i.e., not in the public domain), the necessary permission was obtained by the author(s) from the copyright holder before the document was submitted to Battelle; (3) publication of the document(s) will not infringe on any statutory or common law, copyright, or any other personal or proprietary right of any third party; and (4) Battelle and the editors are indemnified against any breach of this warranty. I hereby grant to Battelle a nonexclusive, perpetual license to use, reproduce, and distribute the poster PDF in the collection described above. I consent to Battelle’s use of my name in the distribution of the poster PDF. Any third-party requests to Battelle to incorporate material.

Submission

The Poster PDF upload link will be sent to presenting authors by January 11, 2019.
