General booth selection will open Monday, August 3, at Noon (EDT).

All Exhibits will be displayed at the JW Marriott Austin. Organizations that provide environmental assessment, remediation, and management services and products are invited to exhibit.

Daily continental breakfasts, beverage breaks, evening receptions, and poster displays and presentations will be in the Exhibit Hall.

IMPORTANT: Booth selection is FIRST COME, FIRST SERVED. You must complete all steps of the online reservation, agree to the terms and conditions, and provide payment information to secure your space. Up to two inline booths may be selected (endcaps not permitted).

Payment Terms. Full payment must be made at time of reservation by major credit card (Discover card not accepted). The Conference retains the right to cancel the reservation without notification and resell the space if payment is not made upon reservation. If paying with an international or government credit card, please contact your credit card institution ahead of time to alert them of the upcoming transaction amount and merchant name (The Scientific Consulting Group). This will avoid any false credit card declines. Additionally, once you are on the credit card payment screen, you will have 3 opportunities to enter in a valid credit card number and billing address. After the 3rd time, you will be locked out and your account will have to be unlocked. If this happens, please contact Danielle Johnikin at SCG to unlock. This will delay your booth confirmation so please enter carefully.

Sponsorship terms and conditions are enforced as written and exceptions are not made. This policy ensures that all sponsoring organizations are treated fairly and equally. Sponsoring organizations are not entitled to additional considerations, regardless of length of participation in Battelle events, other than what is outlined in the Sponsorship agreement seen below. The Thirteenth International Conference on the Remediation and Management of Contaminated Sediments OR 2027 Sediments Conference is organized and presented by Battelle (505 King Ave., Columbus, OH 43201). The Scientific Consulting Group, Inc., (SCG) provides meeting management services in support of Battelle for the Conference. By completing and submitting the information below, the individual submitting this agreement verifies that he or she is authorized to execute this agreement on behalf of the Sponsoring organization and that he or she has read, understands, and agrees to the Terms & Conditions of this agreement. This agreement must be executed in the name of a business entity (corporation, LLC, etc.). The sponsoring organization may choose to display a product or service offering in accordance with this agreement, however, submitting this agreement in the name of a product or service offering is not permitted and will not be accepted by the 2027 Sediments Conference. Battelle retains the exclusive right to control all aspects of the 2027 Sediments Conference and reserves the right to accept or deny sponsorship eligibility of any organization for any reason. Conference sponsorship does not imply endorsement of any product or service of sponsoring organizations by Battelle or the Sediments Conference Office.

In exchange for the benefits of the Sponsorship category selected, the sponsoring organization agrees to pay the associated fee(s) according to the payment schedule below. Early Exhibit booth selection may be denied to qualifying Conference Sponsors until initial deposit is received. Separate Exhibitor Terms and Conditions apply to sponsoring organizations that choose to exhibit. If the Sediments Conference is unable to provide any of the sponsor benefits for any reason, we will inform the sponsoring organization as soon as reasonably possible and reserve the right, as determined by us, to substitute comparable benefits.

The sponsoring organization agrees to promptly comply with all requests, directions, and instructions issued by Battelle, the Sediments Conference Office, and SCG in connection with the event. Neither Battelle, the Sediments Conference Office, nor SCG, will be responsible for a delay or failure to provide Sponsor benefits as a result of the sponsoring organization’s failure or delay to comply with reasonable requests, directions, or instructions, including prompt payment of fees. If fees are not received by the specified due dates, we reserve the right to not supply, or cease to supply, any/all sponsor benefits. Full payment of all fees must be received by November 20, 2026, for entry to the event.

Sponsor Point-of-Contact (POC). Upon completion of the online sponsorship process, a confirmation email will be sent to the person listed as the Sponsor POC. This person will receive all correspondence from the Conference Office and/or SCG. If the POC does not receive the email, please check junk/spam folders or contact the Conference Office ([email protected]). If the Sponsor POC changes, it is the sponsoring organization’s responsibility to notify the Conference Office ([email protected]) and The Scientific Consulting Group, Inc., ([email protected]) of the change. Battelle, the Conference Office, and The Scientific Consulting Group, Inc., are not liable for fees and/or other damages incurred because of missed deadlines or delayed communications to incorrect or outdated POCs, including those that may have left your organization.

Note: For Sponsors that commit after any of the due dates above, the cumulative amount will be due at the time of signature.

Mergers, Acquisitions, and Shared Booth Space. If, after the Sponsorship agreement is signed, a Sponsoring company is bought, sold, merged with, or acquired by another company, the Sponsoring organization will not be relieved of its requirements under this agreement. Only one company may be named as a sponsoring and/or exhibiting company. Affiliate companies may not be listed/named in the "Company Name" section of the Company description.

Use of Logo and Company Description. Upon completion of this agreement, you grant to the 2027 Sediments Conference and Battelle a non-exclusive, worldwide right to use and display your logo, trademarks, and company description (in whole or excerpts thereof) for promotion of the event before, during, and after the event and agree that the Sediments Conference or Battelle are not obligated to make changes or alterations to Conference materials that contain the company logo, trademarks, or description in the event they change during the promotion period.

Copyrighted Material & Use of Battelle Logo. It is the responsibility of the Sponsor to obtain appropriate copyright releases for use of any type of copyrighted material (e.g., publications, graphics) during the Conference. Battelle and “It Can be Done” are registered trademarks of Battelle Memorial Institute. Use of the trademarks or Battelle’s logo without prior written permission of Battelle is strictly prohibited.

Attendee List Rental Agreement. Conference-level and Learning Lab Sponsors receive access to the preliminary and final attendee registration lists as part of their sponsorship package. The lists are available for purchase for $500 per list by other verified Sponsors and Exhibitors of the 2027 Sediments Conference and terms and conditions of purchase and use apply.

Cancellation Policy. Conference-and Learning Lab-level sponsorship cancellation will result in the cancellation of the associated booth. If the Sponsor wishes to keep the assigned booth it will be charged at the rate according to the payment schedule/dates listed in the Exhibitor Terms and Conditions PLUS $500 for priority booth selection access granted to Conference and Learning Lab Sponsors. Cancellations received within 10 days of the contract signing date will receive a full (100%) refund, less a $150 administrative fee. Cancellations received more than 10 days after the contract signing date and before October 12, 2026, will receive a 50% refund, less a $150 administrative fee. After October 12, 2026, no refunds will be granted. All cancellations must be submitted by email to the following people.

Battelle Event Cancellation or Postponement/Change of Date(s) or Venue. If Battelle cancels the Conference due to circumstances beyond Battelle’s reasonable control such as, but not limited to, acts of God, acts of war, fire, explosion, accident, flood, windstorm, extreme weather, earthquake, epidemic, or other disaster or calamity, disruption of utility service; restrictive new governmental laws or regulations; acts of war (whether declared or undeclared), invasion, blockade, or sabotage; terrorism or threat thereof; riot, civil disturbance, insurrection or acts of public enemies; and strike, lockout or other labor action and inability to procure materials; and/or unavailability of the event or exhibition facility, Battelle shall refund to the Sponsor his/her previously paid fee(s) less a share of event cost incurred by Battelle as outlined below:

Cancellation 13+ months in advance of the first day of event: 100% refund
Cancellation 6-12 months in advance of the first day of event: 75% refund
Cancellation 0-5 months in advance of the first day of event: 50% refund

This refund shall be the Sponsor’s exclusive remedy and Battelle’s sole liability for cancellation of the event for reasons generally described in this paragraph. Battelle shall not be responsible for delays, damage, loss, increased costs, or other unfavorable conditions arising by virtue of cause or causes not reasonably within the control of Battelle caused by an event cancellation.

If Battelle postpones the event, Battelle shall retain any Sponsorship fee(s) already paid and apply such fee(s) to the rescheduled event.

Battelle may, in its sole discretion, change the date(s) and/or venue of the event and associated Exhibition upon written notice by email to the Sponsor Point-of-Contact. Battelle shall not be liable for any costs, damages, fees, or other expenses of the Sponsor because of any such changes.

RELEASE OF LIABILITY. YOU UNDERSTAND THAT PARTICIPATION IN THE CONFERENCE CARRIES WITH IT CERTAIN INHERENT RISKS. YOU HEREBY AGREE TO RELEASE AND HOLD HARMLESS BATTELLE, THE SEDIMENTS CONFERENCE OFFICE, the JW MARRIOTT AUSTIN, AND SCIENTIFIC CONSULTING GROUP, INC., AND THEIR EMPLOYEES, VENDORS, PARTNERS, AGENTS AND CONTRACTORS FROM ANY AND ALL ALLEGED AND/OR ACTUAL LIABILITY, CLAIMS, ACTIONS, LAWSUITS, DAMAGES AND LOSSES OF ANY KIND, INCLUDING ATTORNEY’S FEES, WHICH ARISE OUT OF OR RESULT FROM YOUR ATTENDANCE AT AND PARTICIPATION IN THE CONFERENCE AND ANCILLARY ACTIVITIES, INCLUDING BUT NOT LIMITED TO PROPERTY DAMAGE AND PERSONAL INJURIES, ILLNESS, DEATH OR OTHER PHYSICAL LOSS, WHETHER OR NOT FORESEEABLE. These terms and conditions shall be construed in accordance with the laws and enforced within the jurisdiction of the State of Ohio, without regard to its principles of conflicts of law.

Organizations that provide environmental assessment, remediation, and management services, equipment, and products are invited to exhibit. Exhibitors will have the opportunity to present information to a focused audience who acquire and use environmental management products and services at industrial and government sites around the world.

Daily continental breakfasts, afternoon beverage breaks, evening receptions, poster displays and presentations, and the Learning Lab, will be in the Exhibit Hall.

Conference and Learning Lab Sponsors receive priority booth selection. Conference-level Sponsors receive 1st priority selection and Learning Lab Sponsors receive 2nd priority selection before general booth sales open.

IMPORTANT: General booth selection is FIRST COME, FIRST SERVED. You must complete all steps of the online reservation, agree to the terms and conditions, and submit full payment to secure your space. If you are coordinating the reservation process with another person(s) from your organization, please be sure to complete the reservation process for only ONE 8' deep x 10' wide space or TWO in-line spaces for a 8' deep x 20' wide space, endcaps are not permitted. Refunds will not be given for duplicate reservations and only one reservation will be released.

Exhibitor Registration. The person responsible for selecting your booth and managing staff should be the one to fill out the Exhibitor registration to create the Company profile; this designates them as the Company Admin. The Company Admin may complete the Sponsor/Exhibitor Registration in advance of booth selection to expedite the booth reservation process.

Booth Selection Process. To select and pay for your booth:

Sign in to the system using the credentials you created when you completed your Exhibitor registration
Ensure that all the information in the "Update Company" tab (left-hand menu) is complete, including the Company Address information (this is required to for payment processing)
Select the "Registration" option in the left-hand menu
Select the preferred booth
Finish check out--full payment is required to complete the reservation

Government/Non-Profit Booths. Three booth spaces will be available at a reduced government/non-profit rate, first-come, first-served. Only one 8’ deep x10’ wide booth per govt./non-profit organization may be purchased at this rate. Additional booths will be charged the standard inline 8’x10’ rate and premium fees apply to applicable booth spaces as indicated on the Exhibit Hall floor plan. Booth space will not be held or reserved specifically for this rate and booth space may sell out at the regular rates prior to three spaces being purchased at the govt./non-profit rate. The Conference reserves the right to request documentation of government or non-profit status. You must contact the Conference Office ([email protected]) before payment to have the booth fee adjusted to the government/non-profit rate.

The following details the Agreement between Battelle (the Organizer) and any company, individual, partnership, or organization (the Exhibitor) that participates in the Thirteenth International Conference on the Remediation and Management of Contaminated Sediments (2027 Sediments Conference) (the “Activity”).

Organizations that provide environmental assessment, remediation, and management services, equipment, and products are invited to exhibit. The Organizer retains the right to decline an application to exhibit if, in their opinion, it is deemed unsuitable.

Neither Battelle, the Sediments Conference Office, The Scientific Consulting Group, Inc. (SCG), nor the designated event decorator will be responsible for a delay or failure to provide Exhibitor benefits because of the exhibitor’s failure or delay complying with reasonable requests, directions, or instructions, including prompt payment of fees. If fees are not received by the specified due dates, we reserve the right to not supply, or cease to supply, any/all Exhibitor benefits. Full payment of all fees must be received by November 2, 2026, for entry to the event.

These terms and conditions apply to the exclusion of any others unless expressly agreed to in writing. By executing an exhibitor or sponsorship contract, you agree that you have read, understand, and agree to the terms and conditions outlined. You agree and accept Organizer authority in enforcing compliance and will cooperate promptly and professionally in resolving any issues regarding all pre-event and onsite Activity requirements, requests, directions, and instructions issued by Battelle (the Organizer), the Sediments Conference Office, the Scientific Consulting Group, Inc. (SCG), Battelle’s designated meeting contractor, and the designated event decorator in connection with the Activity.

The Organizer, SCG, and the designated event decorator reserve the right to issue verbal and written directives regarding booth operations, displays, conduct, and safety and modify policies or procedures as necessary due to operational, safety, or compliance needs. All Organizer decisions are final.

Exhibitors are required to fully comply with all terms outlined in the Exhibitor Agreement here in, written and verbal instructions issued by the Organizer, the Organizer’s representatives, and event staff; venue rules and local regulations; and applicable health, safety, and security protocols. Failure to comply may result in enforcement actions.

Enforcement Actions

To ensure compliance, the Organizer may take any of the following steps, as necessary:

1. Verbal Notice

Initial notification issued on-site outlining the issue and required corrective action

2. Immediate Corrective Action

Organizer may intervene directly to resolve safety or compliance issues if the exhibitor fails to act promptly

3. Restriction of Activities

Limitation or suspension of specific exhibitor activities until compliance is achieved

4. Booth Closure or Removal

In cases of serious or repeated violations, the Organizer may:

Close the exhibitor booth
Remove materials or personnel from the exhibit hall

5. Contractual Consequences & No Refund Policy

Non-compliance may result in loss of exhibiting privileges without refund, ineligibility for future events, and additional costs incurred due to corrective actions. Failure to comply with Organizer requests or policies will not entitle the exhibitor to any refund, credit, or compensation.

Exhibit Booth Reservation & Confirmation. All booth reservations must be made online. Priority booth selection is given to Conference level and Learning Lab Sponsors. Space is reserved on a first-come/first-served basis. Exhibit space availability is updated in real-time, allowing Exhibitors to select any booth not already reserved.

Booth/Exhibitor Point-of-Contact (POC). Upon completion of the online reservation process, a confirmation email will be sent to the person listed as the company POC. This person will receive all correspondence from the Conference Office, SCG, and the designated event decorator. If you do not receive the email, please check your junk/spam folder or contact the Conference Office ([email protected]). The company POC is responsible for communicating any applicable registration terms and conditions to any booth staff or other company representatives he or she registers for the Activity.

If the company POC changes, it is the exhibiting organization’s responsibility to notify the Conference Office ([email protected]) and SCG ([email protected]) of the change. Battelle, the Conference Office, SCG, and the designated event decorator are not liable for fees and/or other damages incurred because of missed deadlines or delayed communications to incorrect POCs, including those who may have left your organization.

Booth Fees. Booths located in premium (high traffic) areas and corner booths are subject to the additional fees and will be indicated on the Exhibit Hall floor plan: (1) Corner=+$300, (2) Premium=+$400, (3) Premium + Corner=+$500.

Utilities. If required, electrical services must be purchased through the appropriate forms from the Exhibit Decorator.

Payment Terms. Payment must be made in full by credit card at the time of reservation (Discover card not accepted). The Conference retains the right to cancel the reservation without notification and resell the space if payment is not received in full upon reservation.

NOTE: The payment system will auto-adjust to 25% of the total fee, you must edit the payment amount to meet the total calculated fee before checkout.

Booth/Exhibitor Cancellation. Cancellation of a booth reservation will result in damages to the Conference that are difficult to calculate. In the event cancellation is required, the Exhibitor agrees to pay the applicable cancellation fee below as liquidated damages. Cancelation terms apply without regard to the execution date of this Agreement or re-sale of the space. Refunds will be issued via check.

Cancellation received on or prior to August 24, 2026: 5% transaction fee of original transaction amount.
Cancellation received between August 25, 2026, and November 12, 2026: 50% of the total booth fee.
Cancellation received after November 13, 2026: 100% of the total booth fee.

Disputed Charges. In the event of a credit card dispute initiated after any of the deadlines listed above, we will provide the payment processor or financial institution with a copy of this policy, along with documentation of your registration and cancellation date. By completing your registration, you acknowledge and agree that the fees are non-refundable after the stated deadlines, and you waive the right to challenge the charge through a credit card dispute once the deadline has passed.

Battelle Event Cancellation or Postponement/Change of Date(s) or Venue. If Battelle cancels the Activity due to circumstances beyond Battelle’s reasonable control such as, but not limited to, acts of God, fire, explosion, accident, flood, windstorm, extreme weather, earthquake, epidemic, or other disaster or calamity, disruption of utility service; unusually low registration numbers; restrictive new governmental laws or regulations; acts of war (whether declared or undeclared), invasion, blockade, or sabotage; terrorism or threat thereof; riot, civil disturbance, insurrection or acts of public enemies; and strike, lockout or other labor action and inability to procure materials, and/or unavailability of the event or Activity facility, Battelle shall refund to the Exhibitor his/her previously paid fee(s) less a share of event cost incurred by Battelle as outlined below:

Event Cancellation: 100% refund (less a 5% transaction fee of the original transaction amount). Refunds will be issued via check.
Event Postponement: Exhibit fees will be retained by Battelle and applied to the rescheduled event. Exhibit cancellation requests received after event postponement notification are subject to exhibitor cancellation fees as outlined in this agreement.

This refund shall be the Exhibitor’s exclusive remedy and Battelle’s sole liability for the cancellation of the event for reasons generally described in this paragraph. Battelle shall not be responsible for delays, damage, loss, increased costs, or other unfavorable conditions arising by virtue of cause or causes not reasonably within the control of Battelle caused by an event cancellation.

Battelle may, in its sole discretion, change the date(s) and/or venue of the event and associated Activity upon written notice by email to the Booth/Exhibitor Point-of-Contact. Battelle shall not be liable for any costs, damages, fees, or other expenses of the Exhibitor because of any such changes.

Space Limitations/Floor Plan Changes/Liability. The products or services to be exhibited must be pertinent to the technical scope and purpose of the Conference as determined by Battelle, the Sediments Conference Office, and SCG.

Booth space reservations/assignments are the exclusive prerogative of Conference management, and it reserves the right to rearrange the floor plan and/or to relocate any exhibit to further the Conference’s best interests. The floor plan may undergo changes once exhibit sales are open until space sells out; therefore, it is the Exhibitor’s responsibility to monitor any changes that may adversely affect the Exhibitor pre/post-show or onsite. Battelle, the Conference Office, and SCG are not responsible to notify the Exhibitor regarding floorplan changes that may be required to further the Conference’s best interests. Refunds will not be issued for space based on Exhibitors’ selected location, traffic flow, and/or neighboring Exhibitors.

Use of Space and Exhibitor Conduct. No Exhibitor will be permitted to display signage or products outside the confines of the assigned/contracted exhibit space. To ensure an unobstructed view of neighboring exhibits, back walls cannot be higher than 8 feet, and side walls must terminate 3 feet from the back wall for all booths. Side wall pipe and drape cannot be moved or removed. The reverse sides of end wing panels must be covered if they are visible in adjacent booths. Displays must remain fully intact during all official exhibit hours.

All demonstrations, booth activities, and company marketing/signage must remain within the footprint of your booth space and may not extend into aisles, other booths, or elsewhere throughout the venue. Demonstrations, solicitations, and activities may not be disruptive to neighboring exhibitors. Show management reserves the right to suspend any demonstration, solicitation, or activity that results in obstruction of aisles, prevents access to a nearby exhibitor’s booth, creates a disturbance, or violates venue contracts or guidelines. Any space/Exhibitor that violates these guidelines onsite may be asked to alter their set-up by show management. At no time should an Exhibitor aggressively solicit attendees, nor should they attempt to disrupt any other Exhibitor’s business efforts or participation in the Activity.

Alcohol Policy. Texas Alcoholic Beverage Commission (TABC) prohibits exhibitors from: displaying alcoholic beverages as part of booth exhibits, demonstrations, or décor; distributing or sampling alcoholic beverages; using alcohol as a promotional item, incentive, or giveaway; storing visible alcohol within booth spaces. Non-compliance with this policy may be deemed a material breach of the exhibitor contract. As such, event management reserves the right to terminate participation without liability, refund, or compensation.

Subletting/Sharing. Sharing, trading, or subletting of exhibit space is prohibited. Sub-divisions, subsidiaries, or partners of a parent company will not be recognized as Exhibitors and all Conference signage will include only one company name. This applies to booth personnel badges as well as any program listings.

Mergers & Acquisitions. If, after the Exhibitor agreement is signed, an exhibiting company is bought, sold, merged with, or acquired by another company, the exhibiting organization shall not be relieved of its requirements under this agreement.

Hospitality. All requests for hospitality suites, meeting rooms, or public function space within the JW Marriott Austin hotel must be made through the Conference Office ([email protected]). Exhibitor-sponsored food and beverages are prohibited in individual booths and no Exhibitor may dispense any food or beverage items or samples from their booth. Due to licensing requirements and quality control issues, all food and beverage to be served on JW Marriott Austin property must be supplied and prepared by the venues preferred caterer. The JW Mariott Austin, at their discretion, reserves the right to cease service of alcoholic beverages to any individual.

Copyrighted Material & Use of Logo. It is the responsibility of the Exhibitor to obtain appropriate copyright releases for use of any type of copyrighted material (e.g., publications, graphics) during the Activity. Exhibitors are not to use any music, neither live nor recorded. Battelle and “It Can be Done” are registered trademarks of Battelle Memorial Institute. Use of the trademarks or Battelle’s logo without the prior written permission of Battelle is strictly prohibited.

Location. All exhibit booths will be displayed in the JW Marriott Austin, Griffin Hall (2^nd Level) (110 E. 2nd St., Austin, TX 78701).

Display Schedule. The schedule shown below is tentative, and adjustments may be made in exhibit hours, depending on the finalized technical program schedule. Exhibitors are not required to staff their booths during all exhibit hours—booth staffing within the exhibit schedule is at the discretion of the Exhibitor. However, the exhibit hours will be enforced for the display.

Setup
Monday, January 25, 2027: 10:00 a.m.–4:00 p.m.
Setup must be completed, and all packing materials removed by 5:00 p.m.

Teardown
Thursday, January 28, 2027: 1:00–4:00 p.m.
Early teardown will not be permitted. Any organization that begins packing or dismantling a booth before 1:00 p.m., may be denied placement at future events.

NOTE: In response to feedback from exhibitors from past events, the exhibit hall opening times have changed from previous years. Coffee and continental refreshments will be available in the exhibit hall at 9:00 a.m. Booth staff may enter the exhibit hall 30 minutes prior to the opening hours listed below to prepare their booth.

Booth Staff & Technical Program Registration

It is the responsibility of the Booth/Exhibitor Point-of-Contact to register designated booth staff, submit any required payment, and communicate all general registration terms and conditions to the staff you register.

Booth Set-Up Staff. Any person participating in booth set-up on Monday, January 25, must be 18-years old or older and be registered as Set-Up Staff. Registered set-up staff will receive a temporary stick-on badge valid for only Monday, January 25, 2027, through 5:00 p.m. when exhibitor set-up ends. Set-up staff must present a valid government-issued ID to request/pick up their badge, sign-in before entry to the exhibit hall, and sign-out upon final exit. Booth set-up staff may be required to sign Terms & Conditions onsite at the Registration Desk prior to entering the Exhibit Hall.

Booth Staff Registration. Booth staff are defined as the employees of your company (the company named as the “Exhibitor” in this agreement) who will be attending the Activity solely to work in your booth. Booth staff registration must be completed online.

Once a booth has been reserved, Booth/Exhibitor POC may access registrations at any time to add/update booth staff. All booth staff must be registered online by December 15, 2026. Booth staff will be admitted to all food and beverage events held in the Exhibit Hall, may attend the Plenary Session, and are eligible for upgraded technical program registration up to the maximum technical upgrade totals shown in the table below.

IMPORTANT
Booth staff are not eligible to attend technical sessions unless registered for the technical program.
Booth staff badges are not transferable to other individuals and may not be traded/swapped with technical program registrants to avoid paying technical registration fees. Anyone found to be attending technical sessions without the proper registration credentials or trading/swapping badges will be charged a full conference technical registration fee. Battelle, the Sediments Conference Office, and representatives from SCG reserve the right to demand return of a badge they may suspect is being used fraudulently.

By registering for the Conference, you and/or any booth staff or other personnel you register as the booth/exhibitor POC, agree not to sell, trade, modify, copy, tamper with, or share/swap your badge. Badge fraud (i.e., theft of services) is detrimental to the Conference and attendees found to be engaging in such conduct are subject to immediate ejection from the Conference, registration cancellation, without refund, and possible prosecution and/or ban from future Conferences.

Technical program registrants may staff the exhibit booth as needed and do not need a separate booth staff registration to do so. Please do not complete a booth staff registration and a technical program registration for the same person.

Technical Program Registration. Only those registered for the technical program will be admitted to technical sessions. Anyone making a platform or poster presentation, chairing a session, or participating in a panel discussion must be registered for the technical program.

Official Show Contractor & Exhibit Decorator

Exhibitor Services. Arata Expositions, Inc. is designated as the Official Services Contractor for all Exhibitor services, including but not limited to: electric, cleaning, exhibit rentals, furnishings and carpeting, graphics and signs, material handling, transportation, labor, hanging of signage, installation and dismantle supervision. Arata Expositions, Inc. has the sole right to process all Exhibitor orders received either directly or through Arata Expositions, Inc.’s online ordering system. Exhibitor agrees not to contract with any third-party to intercept, collect, or receive Exhibitor orders. Arata Expositions, Inc. may prohibit any Exhibitor Appointed Contractor (EAC) from working at the Activity unless the exhibitor seeking to use the EAC delivers to Arata Expositions, Inc. (i) a notice at least 10 days prior to move-in of the use of the EAC and (ii) a Certificate of Insurance showing that the EAC has the minimum insurance coverage and has named Arata Expositions, Inc. as an additional insured on its policies as follows:

Commercial General Liability insurance with limits no less than $1,000,000 per occurrence combined single limit for bodily injury liability and property damage. Coverage shall apply to Products and Completed Operations, Contractual Liability, Premises and Operations, and Personal Injury.
Commercial Automobile Liability insurance with limits no less than $1,000,000 per occurrence combined single limit for bodily injury liability and property damage, including coverage for owned, non-owned and hired vehicles including loading and unloading operations.

Freight Handling. Direct shipments will not be accepted at the JW Marriott Austin. All exhibit material must be shipped to arrive at Arata Expositions, Inc.’s warehouse for storage and delivery to the Show site. Shipping deadlines will be distributed with the Exhibitor Service Kit. All materials must be clearly marked with the name and dates of the Conference, organization’s name, and assigned booth number. Crate storage is not permitted in the exhibit hall and will be enforced. All exhibitors are responsible for cleaning, sweeping, and removing debris and miscellaneous items of their own making from the booth unless contracted with Arata for booth cleaning.

Exhibitor Service Kit. The address of Arata Expositions, Inc.’s warehouse, all shipping/handling instructions, and furnishing/electrical order forms will be provided in the Exhibitor Service Kit. A link to the Kit will be sent to the registered booth point of contact by Arata Expositions, Inc., approximately three months before the Activity.

Rules & Regulations. Helium balloons and fog/smoke/laser lights are prohibited. No live animals, reptiles, fish, or birds permitted. Properly trained assistance dogs accompanying a person with a disability are accepted and must always remain on a leash. No hazardous substances (as defined by OSHA and EPA guidelines), inflammable materials, objects that can cause bodily injury to any person, use of a vehicle within the building, or operation of motor machinery may be brought onto the property without prior written approval. For the safety and comfort of all Activity guests, use of any items that create amplified noise, odor, or visual effects is prohibited without advance request and written approval of the Sediments Conference Office, SCG, and the JW Marriott Austin. The JW Marriott Austin is a non-smoking public facility (includes electronic cigarettes).

Liability Insurance. Exhibitor shall obtain and keep in force during the term of the installation and use of the exhibit premises policies of Comprehensive General Liability Insurance including contractual liability coverage applicable to this contract, in an amount not less than US $1,000,000 Combined Single Limit occurrence combined single limit for bodily injury or death and property damage, including coverages for personal injury, contractual, and operation of mobile equipment, products and liquor and liability (if applicable); for comprehensive liability and property damage. Battelle, SCG, and the JW Marriott Austin hotel shall be included as additional insureds. In addition, Exhibitor acknowledges that neither Battelle, SCG, nor the JW Marriott Austin maintain insurance covering Exhibitor’s property and that it is the sole responsibility of Exhibitor to obtain property damage insurance covering the Exhibitor’s property.

Compliance with Laws. Exhibitors shall promptly comply and cause its employees, agents, contractors, exhibitors, patrons and invitees to comply with laws, ordinances, orders, rules, regulations and requirements of all federal, state, county, metropolitan governments, commissions and officers whenever applicable, all rules and regulations of the Austin, Texas Police Department and Fire Department and all policies, rules, regulations established for the use of the venue.

Indemnification & Release of Liability. Exhibitor will indemnify and hold harmless Battelle; SCG; Arata Expositions, Inc; the JW Marriott Austin; and the members, officers, directors, agents and employees of each entity against any claims, suits, damages, liabilities, and expenses (including reasonable attorney fees) arising out of property damage or personal injury to third parties caused by or arising out of the negligence or willful misconduct of Exhibitor or any individual or entity for which Exhibitor may be responsible. Exhibitor shall be fully responsible for paying for any and all damages to property owned by the JW Marriott Austin its owners or managers which result from any act or omission of Exhibitor.

Anyone visiting, viewing, or otherwise participating in Exhibitor’s display shall be deemed an invitee or licensee of Exhibitor. In no event shall Exhibitor, Arata Expositions, Inc., SCG, Battelle, or the JW Marriott Austin and their respective trustees, officers, parents, subsidiaries, affiliates, directors, and employees be liable to one another for any consequential, special, or incidental damages of any type or nature. Exhibitor's liability shall include all losses, costs, damages, or expenses arising from, of, or by reason of any accident or bodily injury or other occurrences to any person or persons, including the Exhibitor, its agents, employees, and business invitees/licensees which arise from or out of the Exhibitor's occupancy and use of the Activity premises or any part thereof.

General Provisions. The license granted by this Contract is nontransferable without the prior written consent of SCG. The Exhibit Space and associated facilities licensed hereunder are provided on an “as-is” basis. Neither SCG nor Battelle make any express or implied warranty or guaranty of any type or nature, including fitness for a particular purpose, with regard to the subject Booth/Exhibit space and associated facilities. Further, neither SCG nor Battelle shall be responsible for any damage or loss to Exhibitor’s property while in transit, in storage, or on display at the Activity Site. The Exhibitor shall be responsible for returning the Exhibit Space and associated facilities in as good a condition as they were received, reasonable and normal wear and tear accepted. Exhibitor shall ensure that it and any individuals and/or entities for which it may be responsible comply with all rules and policies of the Activity site, as well as all applicable federal, state, and local laws, ordinances, and regulations.

Any and all disputes arising out of this Agreement shall be adjudicated by a court of competent jurisdiction within and applying the laws of the State of Maryland. Should any portion, word, clause, phrase, sentence, or provision of this Agreement be declared void or unenforceable, the validity of the remainder shall remain unaffected. This Agreement and any documents specifically referenced herein shall be the entire agreement between the parties and shall supersede all prior written or oral understandings. All modifications to this Agreement must be in writing and signed by authorized representatives of SCG and Exhibitor.

Registration Terms & Conditions

Registration terms and conditions are subject to change without notice and are applicable to all levels of registration, including booth staff and Sponsor/Exhibitor waived and discounted registrants. No one under 18 years of age will be admitted to any Conference event unless registered as a student, valid student ID required at check-in. Live animals are not permitted at any Conference event. Properly trained assistance dogs accompanying a person with a disability are accepted and must always remain on a leash.

Payment. Payment is required to confirm registration. Registration payments may be made only by major credit card (Discover card not accepted). Checks and purchase orders are not accepted. Fees are not transferable to other Battelle Conferences. Conference information meant for attendees only (e.g., links to mobile apps, abstracts, and registration lists) will be sent only to individuals who are paid in full.

Substitutions, Transfers, and Mistake Registrations. Substitutions or transfers will be accepted at any time but will incur a $100 transfer fee per transfer occurrence. Substitutions/transfers are only valid for a registration that has not been used. For example, a full Conference registration (for all event days) may not be transferred between individuals for use on different days. Mistake registrations (e.g., duplicate or accidental registrations) will be evaluated on a case-by-case basis. After evaluation, if refund is granted, a $100 administrative fee will be deducted from the refund total.

Cancellations, Refunds, and No Shows. Registration cancellations and refund requests must be received in writing on or before the “cancellation requested date” below to qualify. Refunds will be processed to the credit card used for payment if the cancellation is requested within 30 days of the original payment, otherwise a check will be issued. A $150 service fee applies to each cancelled registration. Paid no-shows will receive access to all online materials covered by their registration fees (e.g., proceedings).

By registering for the Conference, you agree to the following registration cancellation refund policy. A $150 service fee applies to each cancelled registration.

Cancellation requested on or before November 13, 2026—75% of the registration fee.
Cancellation requested between November 14, 2026, through December 17, 2026—50% of the registration fee.
Cancellation requested after December 18, 2027—no refunds, including no shows.

Identification & Badge Use. Attendee badges are the property of Battelle and are required for admittance to all Conference functions (e.g., session rooms, Exhibit Hall) and must always be visible. Battelle, the Sediments Conference Office, and representatives from SCG reserve the right to demand return of a badge they suspect is being used fraudulently.

By registering for the Conference, you agree not to sell, trade, modify, copy, tamper with, or share/swap your badge. This includes sharing/swapping Exhibitor and/or technical registrant badges to avoid paying technical program registration fees. Badge fraud (i.e., theft of services) is detrimental to the Conference and attendees found to be engaging in such conduct are subject to immediate ejection from the Conference, registration cancellation, without refund, and possible prosecution and/or ban from future Conferences.

PHOTO-ID REQUIRED FOR BADGE PICK-UP/REPLACEMENT

A valid, government-issued photo identification (e.g., driver’s license/passport/student ID) that matches the name on the badge will be required for verification upon check-in or to request a replacement badge.

Only the attendee named on the badge may pick up his or her badge and registration materials.

Battelle Event Cancellation or Postponement/Change of Date(s) or Venue. If Battelle cancels the Conference due to circumstances beyond Battelle’s reasonable control such as, but not limited to, acts of God, fire, explosion, accident, flood, windstorm, extreme weather, earthquake, epidemic, or other disaster or calamity, disruption of utility service; unusually low registration numbers; restrictive new governmental laws or regulations; acts of war (whether declared or undeclared), invasion, blockade, or sabotage; terrorism or threat thereof; riot, civil disturbance, insurrection or acts of public enemies; and strike, lockout or other labor action and inability to procure materials, and/or unavailability of the event or Activity facility, Battelle shall refund to the registrant his/her previously paid fee(s) less a 5% transaction fee of the original transaction amount. Refunds will be issued via check.

This refund shall be the registrant's exclusive remedy and Battelle’s sole liability for cancellation of the event for reasons generally described in this paragraph. Battelle shall not be responsible for delays, damage, loss, increased costs, or other unfavorable conditions arising by virtue of cause or causes not reasonably within the control of Battelle caused by an event cancellation.

If Battelle postpones the event, Battelle shall retain any registration fee(s) already paid and apply such fee(s) to the rescheduled event.

Battelle may, in its sole discretion, change the date(s) and/or venue of the event and associated Activity upon written notice by email to the registrant. Battelle shall not be liable for any costs, damages, fees, or other expenses of the registrant because of any such changes.

Use of Likeness. By attending the Conference, you agree and consent that Battelle has the right, in perpetuity, to record, transcribe, modify, perform, reproduce, display, distribute and transmit in any form and for any purpose your name, voice, picture, photograph, portrait and other reproductions of your likeness/image at the Conference in connection with any advertising or promotional content and materials, or for any other lawful purpose including by posting on public websites. You also agree that your likeness/image may appear in photos of the Conference made available to you, other attendees, and the public.

General Conduct and Courtesy. Attendees are expected to conduct themselves in a professional, respectful, and responsible manner at all times. Harassment of any kind is not permitted. Battelle reserves the right, in our sole discretion, to refuse admittance to any person and may expel any person, for any reason, from the Conference or specific Conference events.

Attire. Business or business casual attire is recommended. Session rooms and other Conference areas may be cool; a sweater, light jacket, or layered clothing is recommended to maintain your individual comfort level.

MEDICAL ACKNOWLEDGMENT AND RELEASE. I acknowledge that I derive personal satisfaction and a benefit by virtue of my participation in the Thirteenth International Conference on the Remediation and Management of Contaminated Sediments or 2027 Sediments Conference (the “Activity”) held or sponsored by Battelle Memorial Institute (“Battelle”) and its associated activities, and I willingly engage in the event and/or other associated activities. I acknowledge the health risks associated with the Activity, including but not limited to transient dizziness, lightheaded, fainting, nausea, muscle cramping, musculoskeletal injury, joint pains, sprains and strains, heart attack, stroke, or sudden death. I agree that if I experience any of these or any other symptoms during the Activity, I will discontinue my participation immediately and seek appropriate medical attention.

Battelle cannot guarantee that the Activity participants, volunteers, partners, or others in attendance, are not already infected with or will not become infected with an infectious disease. By registering for the Activity, I acknowledge and understand the following:

Participation in the Activity includes possible exposure to and illness from infectious diseases including but not limited to COVID-19. While particular rules and personal discipline may reduce this risk, the risk of serious illness and death does exist;
I knowingly and freely assume all such risks related to illness and infectious diseases, even if arising from the negligence or fault of the Released Parties; and
I hereby knowingly assume the risk of injury, harm and loss associated with the Activity, including any injury, harm and loss caused by the negligence, fault or conduct of any kind on the part of the Released Parties.

DUTY TO SELF-MONITOR AND NOTIFY/REPORT. Individuals who currently or within the past fourteen (14) days have 1) experienced any symptoms associated with an infectious disease, 2) who believe that they may have been exposed to a confirmed or suspected case of an infectious disease, or 3) have been diagnosed with an infectious disease and are not yet cleared as non-contagious by state or local public health authorities or the health care team responsible for their treatment, should not attend the Activity. Participants in the Activity agree to self-monitor for signs and symptoms of an infectious disease and immediately cease participation in the Activity immediately if affected. Individuals that experience signs or symptoms of an infectious disease within 14 days after participating in the Activity will contact Battelle at [email protected].

RELEASE AND WAIVER. I HEREBY RELEASE, WAIVE, AND FOREVER DISCHARGE ANY AND ALL LIABILITY, CLAIMS, AND DEMANDS OF WHATEVER KIND OR NATURE AGAINST THE BATTELLE MEMORIAL INSTITUTE AND ITS AFFILIATED PARTNERS AND SPONSORS, INCLUDING IN EACH CASE, WITHOUT LIMITATION, THEIR DIRECTORS, OFFICERS, EMPLOYEES, VOLUNTEERS, AND AGENTS (THE “RELEASED PARTIES”), EITHER IN LAW OR IN EQUITY, TO THE FULLEST EXTENT PERMISSIBLE BY LAW, INCLUDING BUT NOT LIMITED TO DAMAGES OR LOSSES CAUSED BY THE NEGLIGENCE, FAULT OR CONDUCT OF ANY KIND ON THE PART OF THE RELEASED PARTIES, INCLUDING BUT NOT LIMITED TO DEATH, BODILY INJURY, ILLNESS, ECONOMIC LOSS OR OUT OF POCKET EXPENSES, OR LOSS OR DAMAGE TO PROPERTY, WHICH I, MY HEIRS, ASSIGNEES, NEXT OF KIN AND/OR LEGALLY APPOINTED OR DESIGNATED REPRESENTATIVES, MAY HAVE OR WHICH MAY HEREINAFTER ACCRUE ON MY BEHALF, WHICH ARISE OR MAY HEREAFTER ARISE FROM MY PARTICIPATION WITH THE ACTIVITY.

As a participant, volunteer, or attendee, I recognize that my participation, involvement and/or attendance at any Battelle Memorial Institute activity (“Activity”) is voluntary and may result in personal injury (including death) and/or property damage. By attending, observing or participating in the Activity, I acknowledge and assume all risks and dangers associated with my participation and/or attendance at the Activity, and I agree that: (a) Battelle Memorial Institute, (b) the property or site owner of the Activity, and (c) all past, present and future affiliates, successors, assigns, employees, volunteers, vendors, partners, directors, and officers, of such entities (subsections (a) through (c), collectively, the "Released Parties"), will not be responsible for any personal injury (including death), property damage, or other loss suffered as a result of your participation in, attendance at, and/or observation of the Activity, regardless if any such injuries or losses are caused by the negligence of any of the Released Parties (collectively, the "Released Claims").
